Logistics and Administration Officer

World Vision Ethiopia is seeking a qualified Logistics and Administration Officer to ensure effective fleet, warehouse, asset, and administrative services for the Program Hub and its Area Programs (APs). The role provides strong operational support and ensures compliance with organizational policies and reporting requirements.

Key Responsibilities

Fleet Management
Ensure drivers comply with fleet and GPS policies and proper vehicle usage.
Monitor driver behavior, vehicle usage, fuel consumption, and maintenance through GPS reports.
Maintain complete vehicle history files and ensure proper insurance coverage.
Coordinate vehicle maintenance, accident reporting, and claims follow-up.
Supervise drivers, manage performance appraisals, and annual leave.
Prepare and submit monthly fleet usage and fuel reports to Head Office.

Warehouse and Distribution Management
Manage warehouse and distribution operations at Hub and AP levels.
Ensure proper inventory management, documentation, and use of standard warehouse forms.
Coordinate annual and periodic inventory counts and reporting.
Ensure timely distribution of items with complete supporting documents.
Monitor safety, security, and segregation of obsolete or inactive stock.

Administration and Asset Management
Maintain and update the fixed asset management system (FAMS).
Conduct mid-year and annual physical asset inventories at Hub and APs.
Prepare accurate fixed asset reports and support disposal processes.
Coordinate travel arrangements, air tickets, hotel bookings, and events.
Manage outsourced services such as cleaning, security, and maintenance.
Ensure offices meet safety, security, and facility standards, including power backup and internet services.

Qualifications and Experience

Bachelor’s Degree in Procurement and Supplies Management, Logistics and Supply Chain Management, Business Management, or related fields.
Minimum of 3 years of relevant experience in fleet management, warehouse and distribution, and administration.
Strong knowledge of fleet, property, and asset management systems.
Excellent communication, interpersonal, and team-building skills.
Proficiency in Microsoft Office; knowledge of GPS and FAMS systems is an advantage.
Strong data management and reporting skills.
Fluency in English; knowledge of local language is an advantage.
